Windsor & Maidenhead looking for £2m business out of document management

The Royal Borough of Windsor & Maidenhead is looking to turn document management into a £2m revenue generating exercise over the next five years - and is confident of a 100% return on investment within 18 months by opening up services to external customers.

The implementation is part of a council-wide business transformation project designed to reduce outsourcing, centralise printing but also secure new external revenue across the organisation. The Borough has installed a Xerox iGen digital press as part of a plan to reduce printing costs.

By opening up print services to external customers, the borough can utilise any spare capacity and deliver cost-effective, short turnaround printing services on virtually any type of stock. It says potential customers include schools, emergency services, other authorities and the private sector.

Windsor & Maidenhead will centralise its wide range of previously siloed print and document management jobs – a large proportion of which were being outsourced by individual departments with no centralised control.

“When we ran the numbers we found we were outsourcing approximately £500,000 of work each year across the various departments within the borough,” said Chris James, manager of digital media services, the Royal Borough of Windsor & Maidenhead.

“Our new Xerox iGen press will allow us to centralise print services and take a significant proportion of this work back in house, delivering significant cost savings to the borough and its residents.”
