13 January 2010 – The University of Plymouth, the largest university in the South West of England, is to transform its purchase-to-pay (P2P) efficiency and significantly reduce manual data entry by implementing intelligent data capture software from Version One (
www.versionone.co.uk). Version One’s DbCapture system, which will be tightly integrated into the University of Plymouth’s Agresso Business World 5.5 enterprise resource planning (ERP) system (
www.agresso.co.uk), is expected to go live in early 2010.
Maggie Martin, Systems and Training Accountant at the University of Plymouth says, “We currently have nine FTE staff across two sites manually keying-in data from purchase invoices, which is extremely inefficient. We recognised the need for a software system to replace this time-consuming administration with automated data capture.”
Maggie Martin continues, “After careful consideration and evaluation we chose Version One’s DbCapture system due to its proven ability to tightly integrate into Agresso Business World 5.5. This will significantly reduce manual data entry, saving us considerable amounts of time and money.”
Version One’s DbCapture solution automatically captures data from imaged purchase invoices using advanced optical character recognition (OCR) technology. Any data discrepancies are automatically highlighted for the attention of the user. This data is then uploaded to Agresso Business World, reducing manual data entry by up to 90 per cent whilst cutting data entry errors.
Maggie Martin adds, “The integration of DbCapture into Agresso is going to dramatically improve purchase-to-pay efficiency, speeding-up the processing of 65,000 purchase invoices each year. Staff will no longer be spending inordinate amounts of time manually entering purchase invoice data, allowing them to spend more time on value-adding jobs, such as dealing with supplier and student queries, thereby more effectively supporting the finance department.”
